Bills, Payouts & Reconciliation
Accrued is not yet payable
Commission accrues hourly into a dedicated ledger account, so what you owe partners sits in your books like any other liability. Accrued commission is not yet the partner's money: it becomes withdrawable only through an approved bill.
One payout currency per partner
Every partner is owed and paid in one currency, chosen when you create them. Commission is calculated from players in any currency and held in the partner's payout currency, and the partner sees a single balance.
Only staff change it (backoffice, the partner's Account tab, Change payout currency; it needs the approve-withdrawals permission and a reason, and is audited). The change is refused while a bill is pending or on hold or a payout is in flight. When it goes through, everything the partner is owed in other currencies is converted into the new one at that day's rate, in the same step, and later bills and payouts are in the new currency.
A closed month keeps the rates it was priced at. If a month priced in an old currency is restated later, it is repriced into the payout currency, and the bill shows the amount as converted. A repriced month cannot become withdrawable twice.
Bills
Once a month has closed, a bill is issued per partner. A partner's first bill covers everything they have earned so far. It carries:
- the commission accrued for the period;
- earlier months — any change the hourly recomputation found in months already billed (a late void, a charged-back deposit, a month repriced into the payout currency), so a restatement is paid or recovered on the next bill instead of being lost;
- sub-affiliate earnings, for a parent with a deal (see Campaign Terms & Commission);
- converted amounts moved in from another currency after a change of payout currency;
- corrections staff add by hand while the bill is open, each an amount added or deducted with a required comment. Corrections are never edited or deleted; a mistake is undone by adding the opposite correction.
Amount to pay = accrued + earlier months + sub-affiliate earnings + converted + corrections. The bill detail lists the months inside it and shows where terms changed mid-month.
A bill moves from pending to on hold, approved or cancelled, and every decision needs a reason, recorded in the audit log. Only approval moves the amount into the partner's balance — including a negative amount, which lowers what they can withdraw. A cancelled bill's amount rolls into the next bill.
The partner's balance and withdrawals
Partners see their balance in the portal, split into what is owed in total (including commission not yet billed or approved) and what is withdrawable (approved bills only). They withdraw to a payment method within its minimum and maximum, or on an automatic schedule. Withdrawing, adding a payment method and creating API credentials all require two-factor authentication, and only the account owner can withdraw.
Automatic withdrawal. Per partner: a day of the month (1 to 28) and a minimum in the payout currency. On that day, if the withdrawable balance has reached the minimum, a withdrawal is requested. It makes at most one payout per month, and a missed day is not caught up. The partner or staff can set it.
Who pays. The operator picks the payout processor (backoffice Affiliates › Bills, audited):
- Mock — no real money moves. Requested payouts wait on the Bills page for staff to mark each paid or failed once the money has gone, with a reason. Failed makes the amount withdrawable again.
- Crypto — pays a crypto balance on chain, in the same coin, to an address the partner gives. It settles by itself; there is no fiat conversion and a fiat balance is not paid this way. Available on a test network only.
Staff can also pay a partner directly: a Pay button on the partner's page, with a confirmation, settling everything approved and withdrawable. Every payout is recorded in the audit log.
Reconciliation
A daily job checks the liability account's balance against the accrual records, per currency, and raises an alert on any drift. It catches a record and the ledger disagreeing; the hourly recomputation is what catches the underlying activity changing (see Campaign Terms & Commission).
Scope & Roadmap
Everything above is part of the program. Billing periods are monthly, and bills are issued daily as months close, so a missed run catches up. Payouts run on a mock processor or on a crypto test network; no live payment processor is connected yet.
